Posting Presentation Materials on the IRA Website

   1. Prepare your materials in a commonly used digital format—PDF, PowerPoint, Microsoft Word, etc. Please note that all materials must be submitted electronically; IRA is unable to provide file preparation or scanning services.

   2. Ensure that the final size of any file is no more than 4 MB. Larger files can be slow to download and thereby cause inconvenience to website visitors. To ensure reasonable file sizes, consider omitting color from your PDF document and any video or audio from your slide show.

   3. Posting your presentation to the IRA website is equivalent to publication of this material. If your presentation includes student work, likenesses, or material from another copyrighted source, you must include copies of appropriate permissions for inclusion of this material. For photographs or other images, this would mean a signed release from the person depicted (or, in the case of a child, from his/her parent or guardian), indicating that he/she agrees to publication of his/her likeness on an unprotected Internet site. For student work, this means a signed release from the creator (or his/her guardian), indicating agreement for publication of this work.

Because of copyright and privacy considerations to which IRA is bound by law, we regret that we will be unable to post your presentation materials until we receive these releases. As an alternative, you might also wish to consider editing your materials to remove the images or content in question.

   4. Remember to put your name, contact information, and presentation title on your materials. These materials will be downloaded by numerous website visitors. If your name is not included with them, visitors will quickly lose track of the source of the material.

   5. Proofread your material. IRA staff is unable to provide editorial services and will not edit or change your files in any way.

   6. E-mail your materials as file attachments to webmaster@reading.org. In the body of your e-mail message, indicate which session the materials are being submitted for. Include your name, presentation title, and the date and time of your presentation. If your presentation is part of a larger meeting—e.g., one paper in a multi-paper symposium—include the title of the entire meeting along with that of your own presentation.

   7. A link to available presentation materials will appear on the regional conference page of IRA’s website. Presentation materials will remain accessible for six months after the presentation date.
